Building an EX survey

Macorva's self-service EX survey builder allows admin users to build and deploy employee surveys in minutes, whether for global initiatives like employee engagement surveys, annual job satisfaction surveys, DEI, etc., or local projects for specific groups including pulse surveys, M&A, work from home response, etc.


Creating a Survey

  • Log into your Macorva admin account.
  • Go to Configure > EX Surveys.
  • Select New Survey to build one from scratch, or choose an open/pending survey to edit. Here you’ll see all closed, open, and pending surveys.

Survey options (dates & basics)

  • Start date: When the survey opens. Employees receive their secure survey link via email/SMS at this time.
  • End date: When the survey closes to responses. You can change the end date while a survey is open to shorten or extend the window. Best practice suggests keeping EX surveys open at least two full work weeks. (Note: Once a survey is closed, it cannot be re-opened.)
  • Results available date: Controls when results become visible to non-admin users (ending the admin “quiet period”). We recommend leaving this blank until after admin have the opportunity to review results.
  • Survey name: Choose a clear, recognizable name. This appears across dashboards after the survey ends.
  • Enable SMS notifications: Check to send via email and SMS. Leave unchecked for email-only delivery.

Select your questions

  • Macorva provides 5 default questions you can keep or replace.
  • Click Add/remove questions to browse the reference library (by category) or add in your own custom questions.
    • To add pre-built questions to your survey, click the checkbox next to the question.
    • To add your own custom question, scroll down to the Custom tab and click the right arrow to expand. From here scroll all the way down, click + Add new question, type in the question label and question. Then, click the check icon.
  • Note: Questions can be configured to be displayed to entire organization, specific departments, or tags. This allows customization of questions depending on a variety of conditions. To do this, click the dropdown under Departments or Tags.
  • If you would like to include a space for free text comments at the end of your survey, make sure the Comments question is selected.

Net Promoter Score (NPS®) 

If you want to include NPS:

  • Choose Question only or Question and attributes.
  • Edit the rating prompt and any attribute prompts as needed. To do so, click on on Add/remove positive attributes or Add/remove negative attributes, select a new attribute and click Update attributes.

360° feedback options

  • For 360 feedback, you can choose one of the following:
    • Include 360° feedback for the entire institution
      All employees can be rated and receive individual results after the survey.
    • Only allow managers to receive feedback
      Anyone can leave reviews, but only managers receive reviews and individual results.
    • No 360° feedback
      Leave both boxes unchecked.
  • You can edit the text for the Question prompt and Attributes prompt if you would like to change them. 
  • Click the Widget dropdown if you would like to change how the scoring appears. Options include: Stars, Faces, Happy faces, Slider, 1-5 boxes, or 1-5 large middle. 
  • You can select which attribute descriptions you would like to include in the 360 rating by clicking Add/remove attributes. You can choose from our pre-built list or enter in your own custom attributes. 
  • To change the order of these, simply drag and drop them to reorder as needed.

 


Setting up survey notifications

  • When you’re satisfied with the configuration, schedule email and/or SMS notifications to give employees access to the open survey:
    • Survey open
      First communication when the survey starts. Includes the secure link and reminders about survey anonymity.
    • Survey reminder
      Sent to:
      • Employees who have not completed at least 90% of questions included in the survey, and
      • Employees with direct reports (reminder emails include the team’s completion rate).
  • In the Email/SMS notifications ta, you can view all scheduled messages, add new ones, or delete using the trash icon.

 


Customize messaging

  • Open Email / SMS Customization to tailor branding and copy.
  • For logos, you can use the Macorva logo, your company logo, or both. Your company logo comes from the default brand under Configure. You can also choose to Email managers an AI-generated summary of their team's results.
  • Customize subject/body for Survey open and Survey reminder in email and SMS.
  • Keep these placeholders exactly as written:
    • {SURVEY_LINK} – inserts each employee’s secure link
    • {ANONYMOUS_URL} – links to your anonymity explanation
    • {TEAM_STATS} – inserts team completion stats (reminders)
    • {COMPANY} – pulls the company name from your default brand

Save and open your survey

  • Once you have configured your survey dates, questions, and notification schedule, you are good to go! Click Create new survey to save your new survey and place it in your Macorva queue.
  • As a reminder, you can:
    • Edit questions and settings any time up to the start date.
    • Edit dates and notifications before and during the open window.
  • Please note that once a survey is closed, it cannot be reopened.
